§ 01Challenge

Edu, a clinical nutritionist specialised in metabolic conditions and the founder of Nutriconsciente, was running his entire business off Google Sheets: a base of 500+ recipes, the nutritional scaling for each client, weekly menus per intake type (breakfast, mid-morning, lunch, snack, dinner, post-workout, desserts), personalised shopping lists and nutritional calculation sheets.

Every new client meant more than two hours of repetitive operational work: scaling recipes by hand while balancing macros, building the weekly menu, drafting the shopping list and filling in the record from a template. Necessary work with no professional value added: pure operations that also opened the door to calculation errors.

The result was a clear ceiling on the business. The more clients he took on, the more time he lost on manual tasks instead of consultations, training or developing new services. Growth was hitting the wall of the hours in a day.

§ 02Decision

The priority was not changing Edu's tooling. Google Sheets worked, he had mastered it and his clients were already using it. The priority was lifting the manual operations off his shoulders without him having to learn anything new.

The proposal:

  • Keep Google Sheets as the only visible interface.
  • Move every calculation, lookup, combination and generation step to an automated system running underneath.
  • Make sure the infrastructure runs 24/7 without depending on free services with pauses or limits that would force retries.

The business goal was clear: let Edu take on more clients without working more hours, and keep every output (menu, list, record) consistent and free from calculation errors.

§ 03Process

The project was structured into four blocks of value:

Automatic recipe scaling. 500+ base recipes stopped being scaled by hand. The system adapts them automatically to each client's nutritional profile, respecting the logical increments of every food (no bad rounding, no broken impossible quantities).

Personalised menu generation. Weekly menus build themselves from each client's profile, filtering recipes that match their caloric goals and macros (protein, fat, carbs). Edu stops picking recipes one by one.

Automatic shopping lists. Once the menu is generated, the shopping list comes out on its own, with the client's excluded foods already flagged so there's no confusion.

Automated client records. The system copies the nutritional calculation template, renames it and fills it in with the new client's data. What used to take several minutes of file prep is now a trigger.

On top of that, the system's technical foundation was reinforced so it always runs, with no outages or pauses that would force Edu to keep checking whether something actually executed.

§ 04Outcome

The time Edu spent preparing a personalised menu went from over 2 hours to under one hour: a reduction of more than 60% per client served. Multiplied by the 20 menus he averages per month, that's tens of hours every month flowing back into the business.

What it means for Nutriconsciente:

  • Each new client stops being an operational burden. The business becomes scalable.
  • Manual calculation errors disappear: nutritional consistency is guaranteed.
  • Edu reclaims weekly hours he can now put into consultations, taking on more patients or working on the services that grow the brand (individualised plan, consulting, DDF Method).

Operational work stopped being the ceiling of the business.
